Ren is your partner in helping you achieve expert and professional charitable gift services for your charitable trust, your charity or your organization. We are dedicated to protecting your privacy and keeping personal information about you secure. As technology continues to transform the way information is collected and distributed, we want you to know that we have implemented important procedures and practices designed to safeguard the privacy and security of your personal information.

  • We employ safeguards to protect information about you and to prevent fraud.
  • We carefully manage information about you within Renaissance.
  • We do not provide information about you to other companies for their own marketing or other purposes. We only share information about you with other companies or individuals at your written request.

How We Gather Information About You

The information we gather about you allows us to properly administer to your charitable trust or charitable organization and to provide more personalized, efficient service to you.  The information we gather comes from a variety of sources, including:

  • Information you may provide to us on applications or other forms. This information may include your name, address, telephone number, email address, Social Security number and date of birth.
  • Information related to your transactions with Renaissance such as distributions made to you or payment made by you to us for our services.
  • Information we obtain from others at your request or on your behalf such as information regarding investment assets and transactions from financial services companies. This information allows us to provide accurate accounting and administration.
  • Information obtained when you use Internet services such electronic forms and transaction information or information contained in e-mails you send to us.

How We Protect Information About You

We have adopted a number of practices to protect the privacy of information about you.

  • We authorize our employees to obtain information about you only when it is necessary.
  • Our employees are regularly trained, using above-standard procedures, to keep your personal information secure.
  • Confidential, personal information is never left unattended and when not in use is kept in a secure environment.
  • Our offices are secured from any person not employed by us.  Visitors and other business people not directly employed by Ren must sign in before they are admitted to the main work areas.
  • Employees are required to use electronic devices to enter and exit the office which allow us to know who is in the office at all times.
  • Personal information that is maintained in our systems is password protected and cannot be accessed by unauthorized employees or outside sources.
  • We are continually enhancing our security and processes.
  • We require outside companies we employ to protect confidential information and to use such information only to provide the services that they perform for us.

How We Protect Your Privacy Online

Protecting information about our customers online is an essential part of our service to you.

  • Our systems use technologies such as firewalls, which are designed to protect systems from intrusion and encryption, which scrambles information and only allows it to be opened with specific software.
  • We validate your identity through confidential access codes before we allow online access to your accounts.
  • We employ cutting edge security on our websites, making your electronic forms and requests as secure as they can be.

You may check that your web session is secure by looking for a small lock symbol usually located in the lower corner of your web browser window.

How We Share Information About You Outside of Ren

We do not share your personal information with companies or individuals outside of Ren. However, we may share information about you with others as required or permitted by law, such as to protect against fraud or in response to a subpoena.

Sending E-Mail

If you choose to send us an e-mail message, we may retain the content of the e-mail, your e-mail address, and our response in order to service your needs. E-mail sent to us within the Reninc.com website is secure. However, e-mail sent to us through other means may not be secure. Therefore we ask that you do not send confidential information such as social security or tax identification numbers to us via an unsecured e-mail. Such communications should be sent to us by postal mail or you may call us at (800) 843-0050 to speak to a representative.

Your Choice To Be Contacted by E-Mail

We are committed to helping you maximize the benefits of your charitable trust or organization. For these reasons, we may contact you by e-mail to inform you of different options or services that may be of value to your trust or organization. However, if you do not wish to be contacted by e-mail for these purposes, please notify us as follows:

How You Can Help Protect Your Privacy

  • Do not share your account information, passwords, user identification numbers, or other confidential information with others.
  • Do not provide confidential information by telephone to unknown callers.
  • Do not provide confidential information online unless you initiated the contact, know the party with whom you are dealing, and provide the information through a secure channel.
  • When conducting business over the Internet, always use a secure browser, exit online applications as soon as you finish using them, and make sure you have virus protection and a firewall, and update them regularly.
  • Review your account statements carefully.
  • Protect and properly dispose of your account records.

Identity Theft Assistance

Monitoring your credit for accuracy is an important step to take in protecting yourself from fraud and identity theft. By law, you are entitled to receive one free credit file disclosure every 12 months from each of the nationwide consumer credit reporting companies. If you believe you may be a victim of identity theft:

  1. Contact the Social Security Administration’s Fraud Hotline at (800) 269-0271 to report fraudulent use of your identification information.
  2. Report the incident as quickly as possible to any one of the following credit reporting agencies:

  3. You should review a current credit bureau report to identify any unauthorized accounts or inquiries and ask the credit reporting agency about placing a Victim Alert Flag on your files.

  5. File a complaint with the Federal Trade Commission (FTC) by contacting the FTC’s Identity Theft Hotline: (877) IDTHEFT.

Phishing

“Phishing” (pronounced “fishing”) is when criminals use e-mail to try to lure you to fake websites, where you are asked to disclose confidential financial and personal information, like Social Security numbers, credit card numbers or passwords.

You should never respond or reply to e-mail that:

  • Requires you to enter personal information directly into the e-mail, non-secure webpage, or submit the information some other way.
  • Threatens to close or suspend your account if you do not take immediate action by providing your personal information.
  • States your account has been compromised or that there have been unauthorized charges on your account and request you to enter or confirm your account information.

How to Limit Direct Marketing from Other Companies

To limit the instances in which credit reporting agencies share your information with companies wishing to offer you pre-approved credit solicitations, you can call (888) 567-8688 (the Credit Reporting Industry Pre-screening Opt Out Number) or visit www.optoutprescreen.com.

Our Code of Ethics

The Ren Code of Ethics expresses our absolute commitment to integrity and high ethical standards in everything we do. Our Code of Ethics sets forth the standards of business conduct that we expect our employees to follow in the performance of their duties and responsibilities. It provides very specific guidelines concerning the safeguarding of confidential information, including customer information.

These guidelines limit employee access to confidential information, and limit the use and disclosure of such information to specifically authorized processes and transactions. Term of Service

Any person receiving access to the RENINC Web Sites will be charged the appropriate fee, if any, described upon registering for the particular service, until notice of cancellation. Service will be provided until cancelled by you or terminated by Renaissance. In either event, you will be “unregistered” from the service at such time.

Renaissance may terminate service if you violate these Terms and Conditions or the terms and conditions of any other arrangement with Renaissance, if you fail to meet payment obligations agreed upon, or if you violate any federal, state or local law with regard to any use of any part of the RENINC Web Sites. Renaissance also may terminate service without cause upon ten (10) days’ notice. You may cancel service at any time by providing written notice to Renaissance. You may not transfer any rights and obligations hereunder without the prior, written approval of Renaissance.

Services offered are subject to change, modification or discontinuation; prices for such services may vary. A change, modification or discontinuation in services or a variation in prices shall be effective immediately upon notice to you. Notice includes, but is not limited to, updates to these Terms and Conditions posted on the RENINC Web Sites, notification by electronic or conventional mail at your last known electronic or physical address, or any other means by which you receive notice. Any access to, or use of, services after notice is provided to you shall be deemed an acceptance by you of any such change, modification or discontinuation of service or variation in its price. You may change services upon written or electronic notice to Renaissance.

Billing

Where required, you must provide Renaissance with complete and accurate billing information, including name, address, telephone number, facsimile number, e-mail address and credit card information (if you intend to pay by credit card). By providing a credit card number, you grant Renaissance the authority to bill charges to that credit card. Monthly and one-time fees and charges, including installation fees (if any), will be billed automatically to that credit card while you are subscribed to such service. All fees and charges (including applicable taxes) incurred in connection with the use of a user’s name, account number, password or other identification will be billed to your credit card. You will receive an invoice/receipt via e-mail that describes the fees and charges billed to that credit card. In the event there is a discrepancy or inaccuracy in a Statement of Account, you must contact Renaissance in writing within forty-five (45) days of the date of the Statement of Account showing the questioned entry.

MEMBER ACCOUNT, PASSWORD AND SECURITY

If you receive a password or account designation upon completion of any registration process, you agree to be responsible for maintaining the confidentiality of the password and account, and are fully responsible for all activities that occur under your password or account. You further agree to (a) immediately notify Renaissance of any unauthorized use of your password or account or any other breach of security, and (b) ensure that you exit from your account at the end of a session. Renaissance shall not be liable for any loss or damage arising from a failure to comply with this paragraph.

PERSONAL AND NON-COMMERCIAL USE LIMITATION

Unless otherwise specified, the reninc.com web sites are for your personal and non-commercial use. You may not modify, copy, distribute, transmit, display, perform, reproduce, publish, license, create derivative works from, transfer, or sell any information, software, products or services obtained from the reninc.com web sites.

LINKS TO THIRD PARTY SITES

The reninc.com web sites may contain links to other Web Sites (“Linked Sites”). DEALINGS WITH ADVERTISERS

Any business dealings or communications with, or participation in promotions of, advertisers found on or through the use of the reninc.com web sites are solely between you and such advertiser. You agree to indemnify and hold Renaissance and its subsidiaries, affiliates, officers, agents and employees harmless from any claim or demand, including reasonable attorneys fees made by any third party due to or arising out of your use of the reninc.com web sites, any Communication Service, any products or information obtained, any Software downloaded or any violation of the terms of this Agreement or the rights of another.

This agreement is governed by the laws of the State of Indiana, U.S.A. You hereby consent to the exclusive jurisdiction and venue of courts in Boone County, Indiana, U.S.A. in all disputes arising out of or relating to the use of the reninc.com web sites. Use of the reninc.com web sites is unauthorized in any jurisdiction that does not give effect to all provisions of these terms and conditions, including without limitation this paragraph. You agree that no joint venture, partnership, employment, or agency relationship exists between you and Renaissance as a result of this agreement or use of the reninc.com web sites. Renaissance’s performance of this agreement is subject to existing laws and legal process, and nothing contained in this agreement is in derogation of Renaissance’s right to comply with governmental, court and law enforcement requests or requirements relating to your use of the reninc.com web sites or information provided to or gathered by Renaissance with respect to such use. If any part of this agreement is determined to be invalid or unenforceable pursuant to applicable law including, but not limited to, the warranty disclaimers and liability limitations set forth above, then the invalid or unenforceable provision will be deemed superseded by a valid, enforceable provision that most closely matches the intent of the original provision and the remainder of the agreement shall continue in effect. Unless otherwise specified herein, this agreement constitutes the entire agreement between the user and Renaissance with respect to the reninc.com web sites and it supersedes all prior or contemporaneous communications and proposals, whether electronic, oral or written, between the user and Renaissance with respect to the reninc.com web sites. A printed version of this agreement and of any notice given in electronic form shall be admissible in judicial or administrative proceedings based upon or relating to this agreement to the same extent and subject to the same conditions as other business documents and records originally generated and maintained in printed form.
